Making the Coffee

At 9:00, the host deacon needs to make decaf and regular coffee and get out cups, sugar, tea, etc. for both the Alumni/ae Room and the hallway outside the Fireside Room (downstairs). Bringing food or juice is appreciated, but not absolutely required. At 11:00, host deacons need to bring refreshments and may need to make more coffee if supplies are running low.

To make the coffee:

  1. The "Ready" light on the coffee maker should already be on. Turn the on/off switch to "on."

  2. Get supplies: paper filters, coffee, and measuring cups from the cabinet above the coffee maker; "Air Pot" (the shiny urn/dispenser) from countertop; and filter basket. Open the Air Pot by squeezing the lock buttons on both sides of the lid and lifting (see diagram at right).

  1. Put a paper filter into the filter basket, and measure coffee into it. 1 1/8 to 1 1/4 cups makes a batch of strong coffee. (Starbucks coffee is stronger, so if you are using that, make it closer to 1 1/8 than 1 1/4 cups.) Put the filter basket in place.

  2. Make sure the "Brew-Thru stem stopper" (long translucent tube with a spout at the end) is in the Air Pot. Place the open Air Pot on the coffee maker so that the stem stopper mouth is right under the filter basket outlet (where the coffee will pour out). (See illustration at right).

  1. Press the "Brew" button and make sure the coffee is pouring into the Air Pot. It will take about 5 minutes to brew one batch. Remove and close the Air Pot.

  2. After the green "ready" light has come back on (it usually takes a few minutes), repeat the process using decaf coffee and the Air Pot labelled as such.

  3. To fill the Air Pot labelled "hot water," either heat water in the electric kettle that sits on the counter (which can be done while the coffee is brewing), or use water from the hot water tap on the coffee maker. If you use the hot water tap on the coffee maker, you must wait until the coffee is finished and the green "ready" light has come back on -- otherwise the water won't be hot enough.

  4. After you have finished making coffee, leave the on/off switch set to "on". When finished for the morning, turn the switch to "off."

Cups and napkins (and plates, if you need them) are usually in the cabinets as well, along with sugar, tea, stirrers, sugar bowl, cream pitcher, and artificial sweetener. Milk or cream will be in the small refrigerator. (If you can't find any, you may want to buy some if you have time before the service begins.)

Lighting the Candles

The candle lighter is in the vestry (the small room off the chancel on the lectern side, where the pastors dress). Usually there's a book of matches sitting on the table in that room; if not, they're in the metal cabinet in the small bathroom off the vestry. After you've lit the candles with the candle lighter, retract and extinguish the wick and then pull it right back out so that you can see it again. Otherwise, the wick can get stuck inside.

In addition those in the chancel, the candles at the Mary statue should be lit for services and extinguished afterwards.

Checking the Hymn Numbers

Check the numbers on the hymn boards against the numbers given in the bulletin. (If you are very diligent, you can also check the bulletin against the hymnal to make sure that the number given in the bulletin matches the name of the hymn.) If you find a mistake on the hymn boards, the extra numbers are stored on a little shelf beneath the lectern. Unless you are very tall, you will need to climb up on the railing to change the numbers.
